Practice Operations Coordinator
Job Description
The Practice Operations Coordinator in our Naples location plays a vital role in ensuring the success of our advisors that work out of that location. Reporting to the Chief People Officer, the role is designed to be a hybrid of three different key needs to help the company grow in this location:
General Office Clerical Work: The Coordinator will facilitate the day-to-day functioning of the Confluence location in Naples, ensuring that client paperwork is processed correctly, appointments are scheduled timely, and client calls are routed and handled properly. Generally, the Coordinator will be expected to be in the office during regular business hours to ensure things are running smoothly.
Marketing Clerical Work: The Coordinator will work directly with the company’s Director of Marketing on specific initiatives within the Naples market, in addition to producing deliverables to be used for individual advisors and company wide. Duties related to marketing may require the associate to be working outside of regular hours to coordinate and attend events.
Advisor Support: The Coordinator will provide support to the advisors in the Naples office as needed and utilize the other members of the Confluence team as a resource when necessary.
This role requires a self-starter with an ability to handle multiple projects and deadlines, a keen ability to prioritize, and a polished manner, both in person and on the phone. Responsibilities
- Ensure that the Confluence branch in Naples functions properly during business hours
- Professionally greet clients and prospects
- Manage phone calls and emails for the location
- Process client requests and execute transactions at the request of Wealth Mangers
- Work with the Chief Operating Officer to ensure clients receive excellent service
- Plan marketing events for the Naples location in conjunction with the Director of Marketing
- Produce deliverable content for the company at the direction of the Director of Marketing
- Serve as the subject-matter expert on Confluence platforms and process in the Naples location
- Other duties as assigned
Qualifications
- Bachelor’s degree
- Strong Microsoft application and general IT skills
- Demonstrated skill in the design of marketing materials
- Superior customer and client service skills
- Demonstrated ability to manage projects and deadlines with minimal oversight
- Demonstrated ability to work on a team
- Previous experience managing an office (Preferred)
- Previous experience in the financial services sector (Preferred)
Job Type: Full Time, Exempt
Salary: From $60,000
Reports To: Chief People Officer
